  • IDP Education (IDP) is an international education organisation offering student placement in Australia, New Zealand, the USA, UK, Ireland and Canada. IDP has more than 100 offices in 32 countries and 550 counsellors. They work with more than 400 Australian institutions. IDP has successfully placed students in Australian universities and colleges since 1969.

    They offer a full suite of services, covering English language testing (IELTS) and visa advice. They also provide support, advice and assistance with essential services like medical insurance, accommodation and banking.

Objective

With a decade old legacy application not suitable for future growth or supported by Oracle, IDP faced planning, forecasting and reporting challenges.  By re-platforming IDP’s legacy on-premise Hyperion into the Cloud, IDP set the following objectives in order to gain greater agility across their business.

IDP engaged Pivot2 Solutions to assist with migrating Hyperion to Cloud. Combining their technical and industry experience, Pivot2 Solutions designed and efficiently implemented a faster and more efficient reporting and planning solution for IDP.

Benefit to Client

  1. Overnight processes time performance gains – 85% quicker processing in the Cloud environment. The process which previously took on average around 12 hours each night was reduced to less than 2 hours. IDP expects optimisation to improve further.

  2. Hyperion network access was greatly improved – reducing the overnight processing time dramatically improved their system availability during all global business hours.

  3. Data entry forms performance – on premise this task took 2 minutes and in the Cloud environment resulted in 66 times faster, with the task taking just a mere 3 seconds to complete.

  4. Web based access to a simplified platform- access to the system whilst their staff work from home during Covid-19. Staff are able to continue to support management with timely management reports.

  5. Detailed dynamic interactive reporting – the new dashboards are dynamic in nature, generating fast reporting which calculates all cross rates in real time. 

Outcome

Migrating IDP’s on-premise legacy Hyperion application to Cloud, achieved multiple successful outcomes for IDP. The 85% reduction of overnight processing time allowed IDP to gain significant improvements in their ability to plan and budget due to improved system availability for all global offices.

Moving to a web based application allowed the staff to work from home during the Covid – 19 pandemic with little or no disruption. Their staff make smarter, data-driven decisions due to the direct connection to the Cloud with access to real time data. The reduction in reporting cycle times for management and budget reports, allows management to quickly respond to challenging and changing situations. The ability to use real time data to complete scenario planning and forecasting is extremely beneficial at this point in time.

This implementation was successfully rolled out in December 2019 and Pivot2 will continue to support IDP with any future requirements.

Since working with Pivot2 to migrate our Hyperion to Cloud, we have achieved significant planning and budget process improvements. An example of this is our improved system availability. Our overnight scripts used to take up to 14 hours, we now have this down to two hours. This allows more of our global teams to access systems during their normal working hours.
We have also improved our management reports and are able to make smarter, data-driven decisions. This is particularly relevant as our direct connection to cloud for our monthly and budget reporting pack has improved our reporting cycle times.
What we like most about our cloud version is being able to access easily the system while we work from home, specially very helpful at this challenging time of changed working conditions. We are able to continue supporting our management in delivering timely management reports and able to finalise our scenario planning and forecasting while working from home.
